As the Administrator, Office Operations you will be responsible for a variety of duties, including handling complex calendars, arranging travel, expense processing, managing the office space, its maintenance and liaising with all related suppliers and contractors.   • Manage travel, expense reimbursement, calendars and other support services for senior executives
  • Serve as the primary point of contact for visiting executives and guests while maintaining a welcoming environment managing logistics such as visitor badges, etc.
  • Manage logistics for internal meetings and events (e.g., reserving conference rooms, ordering catering services, providing support to visiting executives and directors while they are onsite)
  • Coordinate office safety procedures and scheduling the testing of fire safety systems and assignment of adequate Fire Marshals and First Aiders
  • Carry out procurement activities, such as the management and routing of purchase orders and invoices
  • Liaise and maintain relationship with external vendors and suppliers (cleaning, maintenance and building management, etc.)
  • Maintain supplies for common areas such as conference rooms, kitchens, copy rooms
  • Help to maintain a positive office environment including but not limited to organizing office-wide events and activities
  • Ad-hoc support with wider administrative tasks and projects as requiredWhat you need to succeed at GXO:At a minimum, you'll need:
    • Bachelor's degree or equivalent related work or military experience
    • 1 or more years of experience in an administrative support role
    • Proficiency in Microsoft Office (Word, Excel, and PowerPoint)
    • Demonstrated ability to effectively interact with senior management, while maintaining a high level of confidentialityIt'd be great if you also have:
      • 3 years of administrative assistant experience
      • Ability to quickly learn and achieve proficiency in new software applications
      • Ability to multitask with an innate ability for follow-up and follow-through on all tasks
      • Self-motivated work style; ability to work well with minimal supervision or in a team environment
      • Excellent verbal and written communication skills; ability to present clean, organized and thorough information and data appropriate for intended audience
      • Ability to establish and maintain effective and collaborative work relationships both internally and externally
